Edit documents

After you have created your Documents folder hierarchy, populated it with documents, set the working folders, and retrieved the documents, you can edit documents. Edit documents only after you have checked them out or have determined they are already checked out to you. VCAT for documents allows you to open documents from DeltaV Explorer whether they are checked out to you, checked out to someone else, or not checked out at all, but you may not be able to check them in and could end up with three versions of a document: VCAT's copy, DeltaV Explorer's copy, and the copy in your working directory. It may take some effort to resolve such a situation. If you establish the habit of editing only documents checked out to you, you can avoid such situations.

The most straightforward way to manage documents is:

  1. Make sure the folder containing the document has a working folder set.
  2. Check the document out of VCAT from DeltaV Explorer.
  3. Retrieve the document from DeltaV Explorer.
  4. Open the document from DeltaV Explorer.

    The document opens in its associated application. If the application is not found, you are prompted to select an application.

  5. Edit the document.
  6. Save the document in its application (this saves the document to the working folder) and close the application.
  7. An Exploring DeltaV popup appears saying the document has been modified and asking if you want to save it to the database now.

    Clicking Yes on this dialog saves the document to the DeltaV database. Clicking No does not save it to the DeltaV database and the versions of the document in the DeltaV database and in the working folder are now different.

  8. Check the document back in to VCAT.
